Live auto-transcription globally enabled in Zoom

The following is a guest post from Wake Forest Information Systems (IS).

Back in February 2021, we communicated that live transcription was available in Zoom, providing on-screen machine-generated subtitles/captions and an associated transcript during Zoom meetings. The setting we instructed users to enable within Zoom to begin using this feature has been globally enabled. All meeting hosts will now see a Live Transcript button in their host toolbar during meetings.

Hosts must select the Live Transcript button and Enable Live Transcription during a meeting to make the transcription available to attendees. We highly recommend hosts do this at the beginning of each meeting for the best attendee experience. As we develop the habit of enabling this useful accessibility feature, we encourage attendees to request for meeting hosts to enable live transcription, if not yet enabled, to preemptively accommodate attendees’ needs. Attendees can do this by selecting the Live Transcript button in their toolbar menu.

Make sure to update the Zoom application on your computer regularly to ensure access to the most current features. Manually check for updates and run updates through the menu on the Zoom client. For further instructions on updating, check out this Zoom help article.

Digital accessibility is ongoing work that strives to give all users, including those with disabilities, great access and experiences when using digital tools. Websites that support successful and equitable navigation using a keyboard have an important component of good web accessibility in place.

New feature: Enable live transcription for Zoom meetings

This message is shared on behalf of Wake Forest University Information Systems. 

Live transcription (real-time subtitle/captioning) is now available within Zoom meetings for Wake Forest University accounts. This feature allows attendees to enable on-screen machine-generated subtitles/captions and an associated transcript during the meeting. This feature is not currently available when using breakout rooms or Zoom Webinar.

To start using this feature, visit zoom.wfu.edu, sign in with your WFU credentials, navigate to the “Settings,” and scroll down to “In Meeting (Advanced).” Make sure “Closed Captioning” is enabled, check the option under it titled “Enable live transcription service to show transcript on the side panel in-meeting,” and then click “Save.”

To utilize this feature after it is enabled, make sure you have updated your Zoom client to version 5.5.0. You will see a new “Live Transcript” button in your host toolbar during meetings. Hosts must select “Enable Auto-Transcription” in a meeting to make the transcription available to attendees, and attendees must click “Live Transcript” to access the transcript or subtitles.

Information Systems and the Technology Accessibility Program

This semester, the Accessible Content Working Group (ACWG), a part of the Technology Accessibility Program, will bring several new resources to our campus, including accessibility blog posts, tips and workshops. For the first topic, “Improving Accessibility and Inclusion in Virtual Spaces,” the ACWG offers a blog and resource that share the importance and impact of enhancing accessibility in today’s many virtual engagements.

New content, as well as information about upcoming events, will be posted on accessibility.wfu.edu and is available to all faculty, staff and students.
